Employee Preferences (For Employees)

This guide explains how to use Employee Preferences to customize your personal Volume List, Packing List, and Room List while keeping company-required standards.

Intro

Who this document is for

  • Employees who have access to Employee Preferences

What are Employee Preferences?

Employee Preferences let each employee maintain a personal Volume List, Packing List, and Room List that apply to moves they are assigned to. Company admins define on which of their companies, employees can use their own preferences.

When disabled, everyone uses the company’s volume list for all moves assigned to that agency.

When enabled, each employee will use their own personal volume list when surveying all moves assigned to that company.

Key concepts

  • Company-required items: Admins define which items in the volume list employees cannot delete or make limited edits to.

  • Assignee-based behavior: The lists used on a move depend on the current assignee


Initialization & Inheritance

  • You will see a new tab on the left nav called "Preferences"

  • When enabled, each employee’s personal lists are initially populated from the company’s defaults

    • If you belong to multiple companies that have preferences enabled, on first visit you select which company to inherit from


Editing My Volume List

To update the default volume or weight for an item, follow these steps:

Step 1: Go to the "Volume List" page under Preferences.

Step 2: Find the item to edit – Use the search bar to quickly locate a specific item. Then Modify the item's weight or volume by clicking into the field and type the updated value. Changes will be saved automatically.

For adding a custom item – Click the "+" button to create a new line item and customize its details.

Company-required items: Packing and Bulky

To protect estimate accuracy, items can be marked "company-required" by company admins.

  • Company-required rules

    • No renaming company-required items

    • No deleting company-required items

    • Editable elements by employees: Weight, Volume, Default Section (Moving/Not Moving), and labels except Bulky

  • Packing items

    • Admin-marked Packing items are pushed to everyone and are company-required

    • Employees can add personal packing items for themselves

  • Bulky items

    • Admin-marked Bulky items are pushed to everyone and are company-required by default

    • Employees can add personal bulky items for themselves

    • Employees cannot edit Name or ISO or delete bulky items defined by company admin


Editing my Packing List

You can update Yembo auto-packing rules, setting how many cartons are added by the AI based on weight or items in the room.

Auto-Packing adds packing cartons to each room based on the inventory detected by Yembo AI. With the Packing page, you can set your own rules to fit your packing preferences.

This means that if you observe that our default auto-packing formulas produce too much or too little of certain box types, you have the power to tweak it to make them as accurate as possible.

You can change the auto-packing rules in two ways:

Auto-Packing by Room Weight

The first is by setting how many boxes are added based on the weight of the room. For each room type, you can determine which boxes are added and how much of each type per 1,000 pounds of item inventory in that room.

The defaults in the example image above mean that for a master bedroom with exactly 1,000 pounds of items in it, the AI will add one 1.5, one 3.0, and one 4.5. (It rounds to the nearest whole number.)

If this seems like too small a number of cartons to add for a room of that size, that's because much of the packing that is auto-added by the system is a result of specific items in that room. More on that in a moment.

On the Auto-Packing by Room Weight page, you can add or remove carton types:

You can edit the amount of each carton added per 1,000 pounds by clicking into the field directly:

You can also add from a list of additional Rooms to then set rules for, such as setting specific rules for Dining Rooms. (You cannot add a custom room name.)

When adding a Room, you will not be able to edit the Cartons for the room until you have first selected a Room type in the newly added Row.

Auto-Packing by Item

The other way you can adjust the Auto-Packing system is by setting the cartons that are added every time a specific item is detected. This is the 2nd tab, Auto-Packing per Item.

In the example below, you can see that every time a Crib is present in the inventory for the room, a Crib Mattress Carton is added. If there are two Cribs, Yembo will add two Crib Cartons. The rules are for each instance of that item.

Note, too, that this rule is present in "All Rooms," meaning that in any Room type, this rule is applied.

But you can adjust the "per Item" rules to affect only certain room types.

For example, I might want to apply different cartons whenever a Single-Panel cabinet is detected in a kitchen versus when it is detected in another room, given the nature of what might be in those cabinets:

The example above shows that you can also apply multiple carton types for the same object. You are not limited to just adding only one carton type for each item type.

The rule above can be translated as, "For every three Built-In Single-Panel Cabinets, Yembo will add one 3 Cu. Carton and two Dishpack." Just as with the Auto-Packing per Room, Yembo will round the cartons added to the nearest whole number.

You can even have rules that apply to Rooms without any weight. For example, the "Add new item" item in Bedroom Closet means that the system will add two wardrobe cartons to that room automatically, regardless of the weight or items in the room:

This is a helpful rule because Yembo doesn't detect hanging clothes, so you may want to add a few Wardrobe Cartons into every closet by default because in more cases than not you will need them. And when you don't, because it's an empty closet, you can easily delete them during the survey review process.

Editing my Rooms List

You can rename any rooms, add custom rooms, and reorder how the rooms are displayed.

To update and reorder your default rooms list go to the Rooms section of Preferences. Click on the "+" button to add in a custom room.

You will then be able to name your custom room:

Next, you can update the quantity of that room type that you'd like to default onto each survey. You can see in the example we have 3 bedrooms and 3 bedrooms closets. That will apply a Bedroom, 2nd Bedroom, and 3rd Bedroom to every survey going forward.

If you want to reorder how the rooms appear during your survey, click on the pencil icon on the right side of the page.

You can then left click on the dots icon to the left of each room and drag them into a new order that you want. Be sure to click "Save Changes" when you are done!


How lists are chosen on a move

  • The lists used on a move are based on the current assignee shown in the top-right of the move

  • If another user views or edits the move, the lists still follow the assignee

What changes when a move is reassigned

When reassigning a move, the system updates rooms and references to match the new assignee’s lists while preserving existing work. The new assignee’s lists are applied for all future interactions.

  • Rooms

    • Empty rooms that are not in the new list are removed

    • Rooms in the new list that are missing are added

    • Rooms with inventory are kept as-is

  • Items and packing materials

    • Existing items are kept, even if cube factors differ

    • Existing packing materials are kept

    • Recalculate Packing uses the new assignee’s Packing List

    • Any new item you add comes from the new assignee’s lists

If the new assignee wants to use their own volume list settings, they need to click "Reanalyze Media" under the ellipses menu on the Room Reviewer screen.

And then press "Recalculate Packing".


Frequently Asked Questions (FAQ)

  • I belong to two companies. Which lists apply?

    • If both have the feature enabled, you choose which company to inherit from the first time you visit Preferences. Your personal lists apply across companies that use Preferences.

  • One of my companies has the feature off. What happens on moves for that company?

    • That company’s lists are used for those moves, not your personal lists.

  • What happens if my company turns Employee Preferences off?

    • If you still belong to at least one company that has Employee Preferences turned on: your lists will remain.

    • If you do not belong to at least one company that has Employee Preferences turned on: Your settings will be reverted to use your primary company's defaults. Personal lists are wiped forever. We recommend you export your lists as a backup.

  • If my company turns the feature back on later, do I get my old personal lists back?

    • No. Lists are re-initialized from the company defaults. We recommend you export your lists as a backup.

Exporting and Importing Lists

  • CSV export/import is available

BACKUP YOUR LISTS: Once you get your personal lists to your liking, we recommend you export them as a back-up because if an admin ever turns off employee preferences for everyone at the company, and you do not belong at least one other company that has employee preferences enabled, your lists will be deleted forever.

Self Survey Behavior

  • Self Surveys use the lists belonging to the assignee at the time the shipper completes the survey

  • If no assignee is set, the company defaults are used


Troubleshooting

  • "I reassigned the move to myself but I am still seeing items not on my volume list"

    • This is as expected. You need to click "Reanalyze Media" under the ellipses menu in the top of the Room Reviewer to use your own Volume List

    • And also "recalculate packing" to use your own packing list

  • "I cannot edit certain items in my volume list"

    • Those may be company-required items. For company-required items, you can change Weight, Volume, Default Section, and labels except Bulky

  • Recalculate Packing produced different suggestions after reassignment

    • This is expected. Recalculate uses the new assignee’s Packing List

  • Items show different cube factors than expected after reassignment

    • Existing items are not retroactively changed. New items follow the new list.


Glossary

  • Company defaults: Standard lists defined by your company

  • Personal lists: Your own lists derived from the company defaults, you then edit

  • Company-required items: Protected items defined by the company to keep estimates consistent

  • Assignee: The person currently responsible for the move
